To comply with Texas notary law:

13. Printing, Scanning, and Document Handling

When clients request printing, scanning, loan document scanbacks, or document preparation:

Files are used solely to complete the requested service
Printed documents are returned directly to the client
Access to digital files is restricted to company owners and authorized personnel only
Digital files are stored only in temporary, encrypted environments

Digital files are typically deleted within 24 hours. In limited cases where service completion requires it—such as additional scanback requests, resubmissions due to delivery or portal issues, or quality‑related rescans—digital files may be retained for up to 7 days and are then permanently deleted.

Swift Seal Notary Services does not retain digital or physical copies of client documents beyond this limited retention period unless legally required. Permanent deletion protocols are used to prevent file recovery.
